How we protect applicant data (SIN, DOB & documents)
Privacy built in: SIN is optional and never stored, documents live off the public web, and every consent is logged.
SIN & date of birth
A SIN can never be required by law, so it's optional. When an applicant does provide one, it's used only in transit for the Equifax pull and is never persisted — we keep only a flag that a SIN was used. Date of birth is collected for the credit pull with an 18+ check.
Documents & reports
- Uploaded documents (bank statements, ID, pay stubs) are stored on a private disk, off the public web root, and streamed only to authorised viewers.
- Consent is captured and logged through the secure applicant link.
- Deleted reports are soft-deleted (recoverable) and remain viewable to admins for audit.
Reassure your applicants
A consented rental credit check is normal and expected when applying for a place. You can share this article with applicants who ask how their information is handled.
