Can I keep a do-not-call list of bad vendors?

Yes. Every vendor on your list has a tier: Priority, Normal, or Do Not Call. When you mark a vendor Do Not Call, they are automatically removed from the assignment picker so you can never accidentally send them another job — while their history and notes stay on file. Your Priority vendors sort to the top with a star, and you can rate every vendor 1 to 5 stars per job, leave private notes, and see how many jobs each has completed. Great trades rise to the top; bad ones get parked.

Do vendors need to create an account or log in?

No. Vendors receive a secure no-login link by text and email that opens their job page. From there they can confirm they received the job with one tap, book one of the tenant's availability windows, upload before/after photos, post updates the tenant and manager can see, and record their costs. There is nothing to install and no password to remember — which is exactly why vendors actually use it.

Does the tenant have to approve the time, and how is a notice of entry handled?

You ask the tenant for the days and times that work for them, and they can add an access note — for example "I have a dog, please text before arriving." The vendor books one of those windows, and LandlordEzy can generate a proper notice of entry. Everything is timestamped on the shared job link, so you have a clean paper trail of who was told what and when.

How do maintenance costs get billed to the owner or tracked as an expense?

Costs are private to you and the owner — the tenant never sees them. Materials require a receipt (AI reads the amount automatically) and labour is entered directly. For property management companies, one tap posts the job to the owner statement, split by ownership percentage and deducted from the owner's funds. For individual landlords, the cost drops straight into the Expense Tracker against the right property and unit, ready for tax time. It is never double-counted.

Can I require approval before a repair goes ahead?

Approvals are optional per job. When you turn approval on, you choose who signs off — the owner, yourself, or any team member you have added — and add a note such as the estimated cost. They get a no-login link to approve or decline, or to ask a question first. If they ask a question, the job stays pending while you answer back and forth, then they approve. Every decision and note is recorded on the job.

Yes. Yes. Tenants can flag a request as an emergency for urgent problems like a flood, no heat in winter, or no water, and you are alerted right away. Emergency jobs are badged and can move faster, including immediate entry where the law allows, rather than the standard availability-and-notice flow.
