Terms and conditions to use LandlordEzy.

Welcome to LandlordEzy! By accessing or using our platform, you agree to comply with and be bound by the following terms and conditions. Please read them carefully.

1. Introduction

LandlordEzy is a social platform designed to facilitate collaboration between landlords and tenants. Our mission is to create a transparent and cooperative environment for sharing information related to rental properties.

2. Posting Guidelines

What You Can Post:

  • LTB (Landlord and Tenant Board) Orders: Post official orders and decisions to inform others about legal outcomes and precedents.
  • Documents: Upload important documents.
  • Comments: Engage with other users by commenting on posts, sharing your experiences, and providing advice.

3. Important Notice

By posting on LandlordEzy, you agree that you are doing so at your own risk. LandlordEzy provides a platform for sharing information, but you are fully responsible for the content you post. You acknowledge that by posting, you release LandlordEzy from any and all claims related to your posts. The purpose of posting is to foster a cooperative environment where landlords and tenants can share valuable information and work together for a better rental experience.

By utilizing the Landlord Handshake feature and the chat function on Landlordezy, landlords acknowledge and agree that any information shared—including but not limited to texts, images, videos, and legal documents—is solely the responsibility of the landlord. Landlordezy is not liable for the content shared in these communications. It is recommended that landlords exercise caution and ensure that any shared information complies with applicable laws and regulations.

By completing and submitting this form, I, the undersigned, hereby grant permission for LandlordEzy Inc. to conduct a credit check on my behalf using Equifax. I understand and agree to the following terms:

Purpose of the Credit Check

The credit check is being conducted to assess my suitability as a tenant for a rental property. The results of the credit check will be made available to the landlord of the property for the purpose of evaluating my rental application.

Voluntary Submission of Information

I confirm that all personal information and details provided in this form are accurate, truthful, and submitted voluntarily for the sole purpose of conducting the credit check.

Privacy and Data Protection

I understand that LandlordEzy Inc. is committed to safeguarding my personal information and to handling it in compliance with applicable privacy laws, including the federal Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy law. I understand and agree that:

  • My personal information, the documents I provide, the credit report, and any summaries or analyses generated from them are retained only as long as necessary to provide and support the screening service, to share results with the landlord, and to meet LandlordEzy Inc.'s legal, security, audit, and dispute-resolution obligations, after which they are securely deleted in accordance with LandlordEzy Inc.'s retention practices and applicable privacy laws.
  • To deliver the service, my information may be processed by LandlordEzy Inc. and by trusted third-party service providers (including credit bureaus such as Equifax and document-analysis providers), some of which may store or process data outside of Canada.

Consent to Share Information

I give LandlordEzy Inc. permission to provide the results of the credit check to the landlord of the property as part of the rental application process.

Authorization to Proceed

By signing below, I acknowledge that I have read, understood, and agree to the terms outlined above. I authorize LandlordEzy Inc. to perform the credit check and to use and share the results as stated.

No Refund Policy

I acknowledge and agree that all credit check fees are strictly non-refundable. Once the credit check request has been submitted—whether completed by myself or initiated on my behalf—the associated payment cannot be cancelled or refunded under any circumstances, including but not limited to incorrect personal information, incomplete results, or changes in application decisions.

Disclaimer

This consent form is intended solely for the purpose of authorizing LandlordEzy Inc. to perform a credit check and share the results with the landlord of the property. LandlordEzy Inc. assumes no responsibility for any decisions made by the landlord based on the credit report provided.

5. User Responsibilities

  • Accuracy of Information: Ensure that all information and documents you post are accurate and truthful.
  • Respectful Communication: Engage with other users in a respectful and constructive manner.
  • Legal Compliance: Comply with all applicable laws and regulations when posting content on LandlordEzy.

6. Terms & Conditions for Pre-Screening Report

  • Consent to Share Information: You acknowledge that all information you provide in this pre-screening report, including personal and financial details, will be shared directly with the landlord requesting the pre-screening.
  • Purpose of Data Collection: The information collected in this pre-screening report is solely for the landlord's review to assess your eligibility for a rental property before scheduling a viewing.
  • Accuracy of Information: You confirm that all details provided are accurate and truthful to the best of your knowledge. Misrepresentation of information may impact your rental application.
  • No Guarantee of Tenancy: Completing this pre-screening report does not guarantee an offer to rent the property. The landlord retains full discretion in selecting potential tenants.
  • Information and Documents You Provide: The pre-screening report may include personal, employment and financial information and documents — including, for example, government-issued identification, bank statements, pay stubs, employment letters, proof of income or enrolment, rental history, references and similar records. You confirm that you are entitled to provide this information and that it is accurate and truthful.
  • Consent to Automated and AI-Assisted Analysis: You expressly consent to LandlordEzy Inc. collecting, storing, processing and analyzing the information and documents you provide — including by automated means and artificial-intelligence (AI) tools — to read, extract, verify and summarize their contents (for example, summarizing bank statements, income, affordability and credit information) and to generate insights and risk indicators for the requesting landlord's review. You acknowledge that any such automated summaries or scores are decision-support aids only and that the landlord — not LandlordEzy Inc. or its tools — is solely responsible for the tenancy decision.
  • Service Providers and Cross-Border Processing: To provide the screening and the analyses above, LandlordEzy Inc. may disclose your information to trusted third-party service providers, including credit bureaus (such as Equifax) and AI / document-analysis providers. Some providers may store or process your information outside of Canada, where it may be subject to the laws of other jurisdictions. LandlordEzy Inc. requires its service providers to protect your information using safeguards appropriate to its sensitivity.
  • Storage, Retention and Security: LandlordEzy Inc. stores your pre-screening report, the documents you upload and any AI-generated summaries as necessary to provide and support the service, to share results with the requesting landlord, and to meet its legal, security, audit and dispute-resolution obligations. Information is retained only as long as necessary for these purposes and is then securely deleted, in accordance with applicable privacy laws, including PIPEDA and applicable Ontario privacy law.
  • Voluntary Submission and Your Rights: Your submission of this information is voluntary and is made for the purposes described above. You may contact LandlordEzy Inc. at [email protected] to access or correct your information, to withdraw consent (which may prevent completion of the screening), or to ask how your information is handled, subject to applicable law.
  • Landlord's Responsibility: Once your information is shared, the landlord is responsible for handling it in compliance with applicable privacy laws. LandlordEzy Inc. is not responsible for the landlord's use of your information or for any tenancy decision the landlord makes.
  • Participation Is Voluntary — You May Decline: Completing a pre-screening is entirely your choice. If you are not comfortable with any part of these terms — including how your information and documents are collected, stored, shared, or analyzed (including by automated or AI tools) — please do not proceed with or submit the pre-screening report. You are free to decline at any time before submitting, and you are under no obligation to continue.

7. Lease Signing, Rental Report Card & Rent Reporting

  • Electronic Signature: When you sign a lease or related document through LandlordEzy, you agree that your electronic signature is valid, binding and enforceable to the same extent as a handwritten signature, and that you intend it to authenticate the document you are signing. You confirm that you have reviewed the document before signing.
  • Rental Report Card (Automatic and Built-In): As a standard and integral part of the LandlordEzy platform, LandlordEzy Inc. automatically creates, generates and maintains a "Rental Report Card" for your tenancy — a record of your tenancy and rent-payment history as recorded on the platform (for example, on-time payments, arrears and related tenancy information), kept up to date from your rent ledger. The Rental Report Card is a built-in feature of the service and is not an optional add-on; by using LandlordEzy to enter into or manage a tenancy, you acknowledge and agree that this Report Card is created and maintained. You may view your Rental Report Card and share it with prospective landlords to help demonstrate your rental history. The Report Card reflects information recorded on the platform and is provided as-is; LandlordEzy Inc. does not guarantee that any landlord will accept it or make any particular decision based on it.
  • Positive Rent Reporting to Equifax (Optional): Separately from the Rental Report Card, you may choose to have your on-time rent payments reported to Equifax to help build your credit. This positive rent reporting is optional, is based on your consent, and may be withdrawn by you at any time by contacting [email protected]. Declining to enroll, or later withdrawing, does not affect your ability to sign your lease or use the platform.
  • Arrears Reporting: If you fall into arrears, your landlord may report that debt to a credit bureau (such as Equifax) through the standard legal process — for example, following an N4 notice or an order of the Landlord and Tenant Board. This arrears reporting is based on that legal process and does not require your separate consent. Paying your rent on time avoids arrears reporting and strengthens both your credit and your Rental Report Card.

8. Prohibited Activities

  • Posting false or misleading information.
  • Sharing personal information of others without consent.
  • Engaging in harassment, threats, or abusive behavior.
  • Uploading content that violates intellectual property rights.

9. Account Termination

LandlordEzy reserves the right to terminate or suspend your account at our discretion if you violate these terms and conditions.

10. Changes to Terms and Conditions

We may update these terms and conditions from time to time. We will notify you of any significant changes, and your continued use of the platform constitutes acceptance of those changes.
